Limit AI Agents Access
Control AI Agent Access for Specific Users
With TypingMind Custom, you can manage access to AI agents for different users, enabling you to:
- Control which AI agents are visible to specific team members.
- Set message limits for different user groups interacting with particular AI agents.
Here’s how you can easily manage this:
Step 1: Assign tags to your team members
To customize AI agent access, you’ll first need to assign tags to your team members to categorize them into different user groups, follow these steps:
- Go to the “User list” section from the Admin Dashboard.
- Choose a member to whom you want to assign a tag.
- Click on that user email and create a tag.
This tag will be used later to control access to specific AI agents.
Step 2: Manage AI Agent Access
1. Control AI Agent Visibility
To restrict the visibility of AI agents based on user groups, do the following:
- Go to the “AI Agents” section from the Admin Dashboard.
- Select “Create AI Agent” to create a new AI agent, or “Edit” an existing AI agent.
- Scroll down to the “Visibility” section and select one of two options from the drop-down menu.
- “Visible only to users with tags”: once you add tags, users in these certain tags are allowed to use the model
- or “Visible to all users except users with tags”: once you add tags, users in these certain tags ARE NOT allowed to use the model.
For example, if you want only the team members with the "marketing" tag to access the “Marketing Expert” agent, simply select the "marketing" tag for that AI agents

2. Set Message and Character Limits
In addition to visibility controls, you can set limits on the number of messages or characters each user group can send and interact with an AI agent. Here's how:
- Go to AI Agent → Edit Agent
- Under the Usage Limit section, click Add Limit.

Enter the following information:
- Choose a pre-existing limit group, or create a new one to restrict message or character usage. Learn more about Limit Groups.
- Under the Apply for Users section, select Users with tags, then assign the relevant tags to ensure only those users face the usage limits.
This limit setup can also be done via the Usage Limits section:
- Go to Usage Limit → click on AI Agent Limits
Use Cases
Build a Personalized Chatbot for Each Role / Department in a Company
You can specify which AI Agents each department of your company can access.
This ensures that:
- Each department only has access to the AI agents relevant to their work.
- Get personalized responses from the AI agents that are specifically trained for their use cases.
For example, you can tag your marketing team members with a “Marketing” tag and link this tag to all AI Agents specifically designed for marketing tasks.
This way, only the marketing department will see these prompts on their chat interface.
Restrict AI Agents Access for Different User Levels
TypingMind Custom can also be used to control the visibility of AI agents between:
- Intern / Staff and High-level positions
- Visitors / Guests and Team members
Visitors could be tagged “Visitors” and have access only to basic AI agents while Team members receive the “Member” tag and gain access to more advanced prompts.
This is also useful if you want to turn your chatbot into a Customer Support bot that allows visitors to use the Customer Support bot only for their inquiries.
Note
Beside AI Agent restriction, you can also restrict users access to certain prompts and certain chat models.
